Connecting with Doctors

The Doctors tab in Halo shows your connected healthcare providers. This guide explains how to accept invitations, manage connections, and control what information you share.

How Doctor Connections Work

In Halo, you connect with doctors who use the Aether platform:

  1. Doctor sends invitation: Your healthcare provider invites you via email
  2. You accept: Tap the link to connect in Halo
  3. Data syncs: Your health records sync from their EHR
  4. You communicate: Send secure messages back and forth

Accepting an Invitation

When your doctor invites you:

  1. Check your email

    Look for an email from Aether with subject “Doctor Invitation” or similar.

  2. Tap the link

    Click the link in the email. It will open Halo (or prompt you to download it first).

  3. Review the invitation

    You’ll see:

    • Doctor’s name
    • Practice name
    • What data they can access

  4. Accept or decline

    • Tap Accept to connect
    • Tap Decline if you don’t recognize the doctor

  5. Confirmation

    The doctor appears in your Doctors tab, and they can now view your records.

If you already have Halo installed, the email link opens the app directly to the invitation screen. If not, you’ll be taken to the app store first.

Viewing Your Doctors

In the Doctors tab, you’ll see:

Connected Doctors

List of doctors you’ve accepted, showing:

  • Doctor’s name and photo
  • Practice/organization name
  • Last sync date
  • Message button

Pending Invitations

Section titled “Pending Invitations”

Invitations you haven’t responded to yet:

  • Doctor’s name and practice
  • Expiration date (invitations expire after 7 days)
  • Accept/Decline buttons

What Doctors Can See

When you connect with a doctor, they can view:

Managing Connections

View Doctor Details

Section titled “View Doctor Details”
  1. Go to the Doctors tab
  2. Tap on a connected doctor
  3. View their contact information and connection details

Message a Doctor

Section titled “Message a Doctor”
  1. Go to the Doctors tab
  2. Find the doctor you want to message
  3. Tap the Message button
  4. You’ll be taken to the Messages tab with that conversation open

Request an Appointment

Section titled “Request an Appointment”

Some doctors allow appointment requests through Halo:

  1. Open the doctor’s profile
  2. Tap Request Appointment
  3. Select your preferred date/time
  4. Add a reason for your visit
  5. Submit the request

Disconnecting from a Doctor

Section titled “Disconnecting from a Doctor”

If you no longer want to be connected with a doctor:

  1. Go to Doctors tab
  2. Tap the doctor you want to disconnect
  3. Scroll to the bottom
  4. Tap Disconnect
  5. Confirm the disconnection

What happens when you disconnect:

  • Doctor can no longer see your records
  • You can no longer message them through Halo
  • Your existing message history is preserved (but read-only)
  • Doctor can send a new invitation if needed in the future

Expired Invitations

Section titled “Expired Invitations”

Invitations expire after 7 days. If an invitation expires:

  • It disappears from your Pending Invitations
  • Ask your doctor to send a new invitation
  • Check your email spam folder if you didn’t receive it

Multiple Doctors

Section titled “Multiple Doctors”

You can connect with as many doctors as needed:

  • Each connection is independent
  • All connected doctors can view your records
  • Messages are private to each doctor
  • Records sync from all connected providers

Privacy & Control

Your Data, Your Control

Section titled “Your Data, Your Control”
  • You decide which invitations to accept
  • You can disconnect at any time
  • Doctors only see what’s in their EHR + what you’ve added
  • Message content is encrypted and private

HIPAA Protection

All doctor connections and data sharing are protected by:

  • HIPAA compliance
  • End-to-end encryption
  • Audit logging
  • Access controls

Troubleshooting

Section titled “Troubleshooting”
  1. Check your spam/junk folder
  2. Verify your doctor has the correct email
  3. Ask your doctor to resend the invitation
  4. Check Doctors → Pending Invitations in the app
